ZOOFEST Volunteer Opportunities
Event: June 23, 2012
Event Information:
ZOOFEST is a Valley Zoo Development Society’s annual fundraiser.
The theme this year is BUILDING OUR ZOO.
ZooFest 2012 will feature:
- a chance to meet and learn about Taiga and Amba, the Zoo’s tigers
- painting demonstrations by Lucy, the Valley Zoo’s Asian elephant & by Hula the Harbour Seal
- a live painting by renowned artist Lewis Lavoie
- up close encounters with furry, feathered and scaled animals
- silent and live auctions
- food stations with wine sampling
***** All volunteers are asked to attend a volunteer orientation the week before the event for a 1.5 hour session in the SAITO Centre on Wed June 20, 7:00 pm – 8:30pm
***** On the day of the event DINNER for volunteers will be served at 5:00 pm in Zoo School. If your shift starts at 5:00 pm you are welcome to bring dinner back to your station. Volunteers are asked to help with some clean up and tear down at the end of their shift.
***** A basic police check is required for all volunteers and will be provided by the VZDS.
***** If all positions are not filled, you may be requested to do two different jobs.
Set Up - Event day only
Number of volunteers required: 6
Shifts Available:
Silent Auction Set up 3:00 pm – 6:00 pm
Food station (5) Set up 4:00 pm – 6:00 pm
Food station Tear Down 8:30 pm – 9:30 pm
Front Entrance – Event day only
Hand out ZooFest Gift bags to departees.
Sell tickets or hand out previously purchased tickets (Will Call)
Number of volunteers required: 2
Hours: 8:00 pm – 11:00 pm
Programs - Event day only
2 Volunteers will check ticket in hand, then pass out programs to guests as they arrive.
Remind guests to fill out draw at VZDS booth and buy Crap Shoot Tickets.
Others will assist the board pouring & serving champagne.
Organize empty beverage containers.
Number of volunteers required: 4
Hours: 6:00 pm – 8:00 pm
LUCY PHOTOS - 6:30 pm – 8:30 (break every 15 minutes)
Photographer to take photos of guests with Lucy. Only 12 spots available.
Guest will sign up and then line up inside public viewing area.
Photos will be printed on the spot and inserted into logo’d folder.
Number of volunteers required: 2
PINNIPED PHOTOS - 6:30 pm – 8:45 pm (break every 15 minutes)
Photographer to take photos of guests with Harbour Seal. Only 16 spots available.
Guest will sign up and then line up outside winter retreat and be led to the rock and positioned by a zookeeper to either receive a wet kiss or just pose sitting.
Photos will be printed on the spot and inserted inside logo’d folder.
Hula will paint during a time slot.

Bartenders & Cashiers – Event day only
Bartenders will serve beer, wine and bottled water to event guests.
No knowledge of mix drinks is required.
** Volunteers must be 18 years or older and have ProServe Certification.
There are 4 bars. Bars 1 – 3 will tear down at 8:30 pm and call security on radio to move items to Bar 4 which will remain set-up until the event closes.
Volunteer Bartenders: FULL
Volunteer Cashiers (6:00 pm – 8:30 pm/ 6:00 pm – 9: 30pm) : 3
Each Bar will be responsible for their own set-up and teard down.
BAR 1: 6:00 pm – 8:30 pm located at the WHALE SHARK
BAR 2: 6:00 pm – 8:30 pm located at the LEARNING LAIR
BAR 3: 6:00 pm – 8:30 pm located in the CRAP SHOOT Area
BAR 4: 7:00 pm – 10:00 pm located at ARCTIC SHORES
Silent/Live Auction – Event day only
Volunteers will set up and tear down the auction displays, ring through sales of completed items, and any other activities that arise associated with the auction.
There is a supervisor in charge of the auction.

WESTJET Gift of Flight Raffle – Event Day only
Volunteers will wander the zoo selling tickets for $20 each.
Only 500 tickets printed.
Winning ticket pulled at 9:00 pm at live auction area

Hours: 6:00 pm – 9:00 pm
Coffee, Liqueur & Dessert – Event day only at Arctic Shores
Serving free coffee. Pour complimentary liqueur for guests.
Re-arrange desserts to look full and fresh. Make sure area is neat, wiped and stocked.

Hours: 7:00 pm – 10:00 pm
Volunteer Area Monitor – Event day only
Monitor the volunteer area, set up the tables, ensure food and drink is out for volunteers, sign in & out sheets, hand out aprons, answer questions, tear down tables and liaison with VZDS staff. Someone must be present at all times as personal items will be stored here.

Volunteer Endowment Fund Developer
Edmonton’s Valley Zoo Development Society (VZDS) is seeking an experienced Endowment Fund Developer volunteer to develop and implement an endowment fund as part of a capital campaign as well as increase opportunities for sustained operational funding.
VZDS is a registered charity and non-for-profit organization committed to raising funds and awareness for the Valley Zoo. Since 1988, the VZDS has acted in partnership with the City of Edmonton to ensure the continued development of this treasured local facility.
Position summary:
Reporting to the VZDS Board, the Endowment Fund Developer will:
- create and implement an overall endowment fund development strategy
- develop a framework for major individual and planned giving donors
- assist to develop and implement a capital campaign
The key role of the Endowment Fund Developer is to improve the revenue of the VDZS. The candidate will engage in a team approach and thereby strengthen our organization’s capacity as a whole.
Responsibilities:
- Develop, implement and operate an endowment campaign
- Develop and maintain a donor data base
- Ensure community and funder relationships are developed, enhanced and nurtured
- Ensure that all reporting requirements are met
Qualifications:
- Experience developing, implementing and/ or operation of a successful endowment campaign
- Demonstrated abilities in strategic planning and problem solving
- Proven abilities to work as a team player and to facilitate and mobilize support
- Demonstrated, well developed influencing, negotiating and sales skills
- Ability to meet deadlines
- Strong writing, presentation and networking skills
- An understanding of budgets and financial reporting
- Fully literate in Word, Excel, and one or more fundraising data base programs
- Outgoing, inclusive and welcoming in nature
- Resourceful, motivated and energetic
